Outlook Calendar Sharing Guide - Webmail and Desktop App
Overview
This guide walks you through setting up calendar sharing permissions in Outlook so that schedulers and collaborating team members can view and manage your calendar. Two methods are covered: using Webmail and using the Outlook desktop app.
Who This Is For: Any user who collaborates with schedulers, including CSR, FSR, and BMR team members.
Two Methods Covered: Method 1 (Webmail) and Method 2 (Outlook Desktop App).
Method 1: Webmail
Step 1: Log Into Webmail
Open your browser and navigate to mail.tonyrobbins.com. Log in with your company credentials.
Step 2: Navigate to the Calendar
Once logged in, locate and click the Calendar icon on the left panel. This will update the ribbon options displayed at the top of the page.
Step 3: Click Share Calendar
In the ribbon at the top of the page, locate and click the "Share Calendar" icon.
Step 4: Select Your Calendar
A dropdown will appear prompting you to select which calendar you would like to share. Select the appropriate calendar from the list.
Step 5: Add the Person You Want to Share With
A new popup window will appear. In the search field, type the name of the person you wish to share your calendar with and select them from the results.
Step 6: Set the Access Level
Using the access level dropdown in the popup, select the appropriate level of access you would like to grant to that person.
Note: Choose the access level carefully based on how much visibility and control you want the other person to have over your calendar.
Step 7: Send the Sharing Invitation
Once you have selected the person and the access level, click Share or Send to complete the calendar sharing setup.
Method 2: Outlook Desktop App
Step 1: Open the Outlook Desktop App
Open the Outlook classic app from your PC. Once open, locate and click the Calendar icon on the left panel. This will update the ribbon options at the top of the page.
Step 2: Open Calendar Permissions
In the ribbon at the top of the page, locate and click the "Share Calendar" icon.
Step 3: Review the Permissions List
A popup box will appear displaying the option to add people you would like to share access to your calendar.

Step 4: Verify Permission Level
For each person listed, confirm that their permission level is set to "Can edit." This is the required access level for schedulers and collaborating team members.
Important: All coordinators and schedulers must be set to "Can edit" level access.
Step 5: Add Missing Team Members
If any required team members are not listed, click the "Add" button to add them. Search for the person by name, select them, and assign them "Can edit" access.
Step 6: Verify and Apply
Once all required team members have been added and their permission levels have been confirmed as "Publishing Editor," click "Apply" at the bottom of the popup to save your changes.
Note: After clicking Apply, the selected team members will be able to view and manage your calendar according to the access level you assigned.

- Go to mail.tonyrobbins.com and log in

- Select your calendar from the dropdown
- Type the person's name and select them
- Choose the access level and send the invitation
Outlook App Steps:
- Open Outlook and click the Calendar icon
- Click Share Calendar in the ribbon
- Review the list and confirm all coordinators are listed
- Verify all required users are set to "Can edit"
- Add any missing team members and assign correct access
- Click Apply to save
