Salesforce — Multipurpose Email Guide
Overview
This guide covers how to access Salesforce email templates and how to send emails to clients from Salesforce.
Who This Is For: All reps except coaches.
Required Systems: Salesforce.
Emailing a client from Salesforce can be done from five different places. Where you send the email from determines the type of information the client receives:
- Account record — sending general information emails
- Opportunity record — sending opportunity-related specific emails
- Lead record — when the client has not yet been converted to an account
- Coaching contract — coaching contract-related specific emails
- Event Credit (EC) — event-related specific emails
The sections below walk through each of these starting points.
Section 1: Sending an Email from the Account Record
Step 1: Open the Account Record
Open the client's account record in Salesforce.
Account records display like this.
Step 2: Go to the Activity Tab
Locate and click the Activity tab.
Step 3: Select Email
New options will display under Activity, including Email.
Step 4: Complete the Email Fields
Click the Email button. A popup will appear. Complete the following:
- Verify the client's email is in the To field
- Decide whether to keep yourself Bcc'd or remove it
- Enter a subject/topic (only if sending a personalized email, not a template)
- Type in the body box if sending a personalized email; otherwise, continue to Step 5
- Open Templates
Step 5: Insert a Template
Clicking Templates will bring up another popup to insert a template or select from recently used templates.
Step 6: Select the Correct Template Folder
In the Insert Email Template window: (1) select the origin of the templates — All Classic Templates or All Lightning Templates, then (2) select your department to locate department-specific templates.
Step 7: Verify Template Information
After selecting your template, verify the information is accurate and complete.
Step 8: Send and Log the Call
Once complete, click Send, then log a call to capture the activity you conducted for the client.
Section 2: Sending an Email from the Opportunity Record
Locate the opportunity record, then click the dropdown next to the envelope icon and select Email Customer.
Section 3: Sending an Email from the Lead Record
Locate the lead record, then click Email under the Activity section.
Section 4: Sending an Email from the Coaching Contract
Locate the coaching contract, then click the envelope icon under Activity.
Section 5: Sending an Email from the Event Credit
Locate the Event Credit, then click the envelope icon under Activity.
Quick Tips for Success
- Where you send from matters. The record you send an email from determines the context and information the client receives, so choose the correct starting point.
- Use templates for consistency. Select the correct department folder so the client receives accurate, on-brand messaging.
- Double-check before sending. Verify the To field, subject, and body are accurate, especially when using a template.
- Always log the activity. Log a call after sending so the client's account reflects the communication.
