Rippling Payroll Guide - Time Card Submission
Overview
This guide explains how to submit time cards in Rippling as we transition from Coastal to Rippling for time tracking and payroll. It covers the new weekly submission process, how it differs by pay group, and the steps to follow each week.
Who This Is For: All RRI employees, including domestic coaches.
Before You Begin
Important: The effective date for this change is 3/30/2026, for the 4/15 check date. Your pay schedule (semi-monthly, bi-weekly, etc.) is not changing. What is changing is how often you submit your timesheet.
Before submitting your first weekly timesheet, identify which pay group you belong to. Submission requirements differ by group and are outlined in the table below.
Pay Groups and Requirements
| Pay Group | What Changes |
| Full-Time Non-Exempt (eligible for overtime) | Remains on a semi-monthly pay schedule (paid on the 15th and last day of the month) but must now submit timesheets weekly. Approved overtime will flow into the current payroll cycle instead of being paid in arrears. |
| Commissioned Sales and Coaches (Full-Time and Part-Time, including draw against commission) | Must submit weekly timesheets using the same process. Remain on a semi-monthly pay schedule. Weekly submission is also required to track ESOP eligibility. |
| Part-Time Hourly | Moving to a bi-weekly pay schedule. The first payment under the new schedule will be received on 4/15, covering pay dates March 23 - April 5. Enter time in Rippling for the week of March 23. |
| Full-Time Exempt (not eligible for overtime) | Continue on the semi-monthly pay schedule. Not required to enter time in Rippling. |
Step-by-Step Instructions
Step 1: Track Your Hours Daily
Log your hours in Rippling as you work each day. Entering time daily makes it easier to catch missed punches before they affect your paycheck.
Click Time.
Step 2: Submit Your Timesheet Weekly
At the end of your last work day each week, review your hours for the week and submit your timesheet in Rippling.
Tip: The Rippling mobile app makes on-the-go submissions quick and easy.
Click Add Time to add breaks.
Reference: when inputting start time and end time, a new window will populate that looks like this.
Step 3: Manager Review
Managers will review and approve submitted hours starting every Monday morning.
Step 4: Confirm Your Pay Date
Note: Your pay schedule remains current. For example, salary earned from the 1st through the 15th is still paid on the 15th. Weekly submissions simply ensure the data used to process your check is accurate and, where possible, gets overtime paid sooner.

Follow these guidelines every time you submit a timesheet in Rippling:
- Log your hours daily rather than waiting until the end of the week.
- Submit your timesheet by the end of your last work day each week.
- Use the Rippling mobile app for quick, on-the-go submissions.
- Double-check your hours for accuracy before submitting.
- Know your pay group and its specific schedule and requirements.
- Commissioned employees and coaches: remember weekly submission also tracks your ESOP eligibility.
