Calendly User Guide - Availability Setup
Overview
This guide explains how to set up your Calendly availability. This includes connecting your Outlook calendar to Calendly so it can read your availability, and setting up your weekly schedule for client bookings.
Who This Is For: All PC users and Calendly users.
Before You Begin
Systems Required: Laptop.
Have the following ready before you start:
- Your Calendly login credentials
- Your Office 365 (Outlook) login credentials
- Your SSO should cover both

Step-by-Step Instructions
Step 1: Log Into Calendly
Make sure you are logged into your Calendly account. Once logged in, you will see a panel of options on the left-hand side.
Step 2: Open the Availability Menu
From the left-hand panel, select the Availability option.
Step 3: Connect Your Calendar
Before setting your availability, make sure your calendar is connected.
- Click the calendar settings tab at the very top.
- Select the calendar you want to connect to. Choose Office 365.
- Click Connect, then sign in when prompted.
Note: Once you’re signed in, Calendly will begin synchronizing your Outlook availability so it can read your schedule for future bookings.
Step 4: Set Up Your Schedule
Click the Schedules tab at the top, then scroll down to set up your availability.
- Enter your available hours in either military time or a.m./p.m. format.
- Once you’ve set up one day, you can copy and apply those same hours to every other day.
Step 5: Select Your Time Zone
Select your correct time zone at the bottom of the Schedules page.
Step 6: Save Your Selections
Once you are finished, click Save to save your selections.
Best Practices
Follow these guidelines every time you set up or update your Calendly availability:
- Confirm your calendar is connected to the correct account (Office 365) before setting your availability.
- Double-check that your time zone is accurate so clients see the correct booking times.
- Keep your availability hours up to date as your schedule changes.
- Always click Save after making any changes.
