Zoom User Guide - Voicemail Setup
Overview
This guide explains how to locate your voicemail settings in Zoom, set up your call handling hours, and record or update your voicemail greeting.
Who This Is For: All users.
Before You Begin
Systems Required: Zoom, accessed at tonyrobbins.zoom.us.
What This Guide Covers
- Logging into Zoom for the first time and setting up your PIN
- Locating your Settings tab
- Setting up your call handling hours
- Recording and applying your voicemail greeting
Step-by-Step Instructions
Step 1: Log Into Zoom
Go to tonyrobbins.zoom.us to log in.
Click on the Phone option in the left panel.
Note: If this is your first time logging in, you will be asked to set up a PIN number. Avoid using a generic PIN, since it will be hard for you to remember it in the future.
Step 2: Open the Settings Tab
Once you are logged in, you will see four tabs along the top of the screen. Click on the Settings tab.
In the first section, confirm that the RRI phone number listed at the top is correct.
Step 3: Set Up Your Call Handling Hours
Scroll down and click Edit next to your call handling hours. This determines whether you receive phone calls throughout the day, and at what times.
Step 4: Access Your Voicemail Greeting Settings
Scroll down further and locate the section called Greeting and Leave Voicemail Instructions.
- Click Edit.
- Choose from the asset library, or click Add an Audio if you don’t have a recording yet.
Note: You can also use this screen to re-record or update an existing voicemail greeting.
Step 5: Record Your Voicemail Greeting
You will see three tabs along the top of the add audio screen, select the tab Record by Computer and start by naming your voicemail.
- Select the Category, then choose Leave Voicemail Instructions.
- Indicate your language.
- Click the red Record button to begin recording and click it again when you are finished.
A standard, professional voicemail greeting should let callers know who they’ve reached and what to do next. For example:
“You have reached Jennifer Hodge, Personal Results Specialist. I’m not available to take your call right now, so please leave a detailed message. For a faster response, you can also text me at this number.”
Once you are finished recording, click Add to save it.
Step 6: Apply Your Voicemail Greeting
Return to the Greeting and Leave Voicemail Instructions section and click Edit. You can now select your newly created recording from the asset library.
Best Practices
Follow these guidelines every time you set up or update your Zoom voicemail settings:
- Set up a PIN that is memorable to you but not generic or easy to guess.
- Confirm your RRI phone number is listed correctly before making other changes.
- Keep your call handling hours accurate and up to date.
- Your voicemail greeting should always include your name, title, and clear instructions for the caller.
- Update your voicemail greeting any time your title, hours, or contact information changes.
