Overview
This guide explains what the My Email to Salesforce BCC code is and how to use it. This code allows emails sent to clients from Outlook to be logged back onto the client's account in Salesforce.
Who This Is For:
All Salesforce users who email clients directly from Outlook.
Before You Begin
Important: Whenever possible, email clients directly through Salesforce (from the account or opportunity page) so the interaction is logged automatically. Only use the BCC code when you are emailing a client from Outlook.
Salesforce logs client emails automatically when they are sent from an account or opportunity page. Emails sent from Outlook are not logged automatically, which is why the BCC code is needed.
Step-by-Step Instructions
Step 1: Open Your Profile Settings
Click on your profile icon in the top right-hand corner of Salesforce. This will be a picture of you if you have one set up, or a default picture of a bear if not.
Step 2: Go to Settings
From the drop-down menu, select "Settings."
Step 3: Select Email
On the left-hand side menu of the Settings page, select "Email."
Step 4: Open My Email to Salesforce
Under the Email menu, select the second option, labeled "My Email to Salesforce." A new tab will open with your code.
Step 5: Copy Your Code
Your unique code appears highlighted in faint yellow on the page. Copy this code.
Note: This code is unique to you. Do not share your code or use another user's code.
Step 6: Use the Code in Outlook
When sending an email to a client from Outlook, paste your My Email to Salesforce code into the BCC line before sending.
Important: Remove yourself from the BCC line before sending, unless you also want to receive a copy of the email in your own inbox.
Once sent, Salesforce will automatically log the email as an activity on the client's account.
Best Practices
- Use Salesforce directly (account or opportunity page) to email clients whenever possible, since it logs the activity automatically.
- Only use your My Email to Salesforce BCC code when emailing clients from Outlook.
- Always remove yourself from the BCC line unless you intend to receive a copy of the email.
- Confirm the email was logged by checking the Activity tab on the client's account or opportunity for the envelope icon.
- Never share your BCC code with another user.
