Salesforce User Guide - Opportunity Creation
Overview
This guide walks you through the steps required to create a new opportunity (also called an engagement) in Salesforce. The terms "opportunity" and "engagement" are used interchangeably.
Who This Is For:
All Salesforce users, excluding coaches.
When to Create an Opportunity
- Sales roles (PRS, FSRs): create an opportunity when the client is ready to buy.
- Roles with a scheduling component - CCs, BCs, BMRs, and CSRs: create an opportunity when the client is looking to schedule a session.
Before You Begin
Important: "Create a New Order" is used only by coaches. All other teams will use either "Generate Engagement" or "Generate Web Action Opportunity."
Before selecting a button, determine where the client originated from. This will tell you which button to use:
- Generate Engagement - use when the client originated from anywhere other than the internet.
- Generate Web Action Opportunity - use when the client came to you through an action they took on the internet.
Step-by-Step Instructions
Step 1: Bring Up the Client's Account
Locate and open the client's account in Salesforce.
Step 2: Select the Correct Button
Based on where the client originated from, click either "Generate Engagement" or "Generate Web Action Opportunity."
Note: If you click "Generate Web Action Opportunity" and there is no drop-down list to select from, this means it is the wrong selection for this client. Go back and use "Generate Engagement" instead.
Step 3: Select the Correct Listing
A list of options will appear, organized alphabetically by department. Each listing follows this naming convention, in order:
- Department
- Type of engagement, or how the client came to you
- What the client is looking to purchase
For example, a Business Mastery (BM) listing might read "Event Grad" for a client who previously attended an event and is now a graduate, or an option for an inbound queue call where the client wants to buy a bundle, coaching, events, mastery event, memberships, or products.
Note: Every department follows the same naming convention, including Coaching, Customer Service, PRS, and Saves (Retention). Be sure to select the listing that matches your department.
Step 4: Click Next
Once you have selected the correct listing for your department, engagement type, and product, click "Next" to generate the new opportunity.
Example: A PRS rep receiving an inbound queue call from a client wanting to purchase Date with Destiny (a Mastery product) would select the PRS listing for inbound queue call, mastery, and click Next.
Best Practices
- Confirm where the client originated from before choosing Generate Engagement or Generate Web Action Opportunity.
- If Generate Web Action Opportunity gives no drop-down options, switch to Generate Engagement.
- Select the listing that matches your department first, then the engagement type, then the product.
- Double-check your selection before clicking Next, since listings are specific to department and product.
