Overview
This guide walks you through how to search for a client and interpret the search results within Salesforce. Follow all steps carefully to ensure you are reviewing the correct client record.

Before You Begin
Important: Salesforce's recommended result is not always correct, since Salesforce does not know exactly what you are looking for. Always confirm the result matches the client you intend to review before proceeding.
Step-by-Step Instructions
Step 1: Enter Your Search Criteria
In Salesforce, enter your search using one of the following:
- Client's first and last name
- Client's phone number or email address
- Client's unique client number
- Opportunity number
- Lead number
- Any relevant keyword
Step 2: Review the Search Result Categories
On the left-hand side of the search results page, you will see categories such as Accounts, Opportunities, Tasks, and Coaching Contracts. The number next to each category shows how many results were found within it.
Step 3: Select a Category or Review the Recommended Result
Click on an individual category to display only the results within that category. If you do not select a specific category, Salesforce will display a recommended result in the main body of the page.
Tip: Always double-check that the recommended result matches the client you intend to review before continuing.
Step 4: Review Account Details
Within the Accounts category, you will see the following information:
- Client's name
- Customer number
- Owner (the last person who took action on the account)
- Coaching sales rep (the last coaching-related action taken on the account)
- Mailing state and mailing city
- Phone number and email address
Note: The Owner and Coaching Sales Rep fields reflect whoever last took action on the account. This does not necessarily mean they currently hold that role.
Step 5: Review Opportunity Details
Within the Opportunities category, you will see the following information:
- Client's name
- Product the client purchased or intended to purchase
- Opportunity number, unique to that opportunity
- Sales stage, indicating where the client is in the sales process
- Close date, color-coded to indicate whether the opportunity is still being worked

Step 6: Review Tasks, Coaching Contracts, and Other Categories
Additional categories, such as Tasks, Coaching Contracts, and Events, provide further context on what is currently happening with the client.
Best Practices
Follow these guidelines every time you review search results in Salesforce:
- Always verify that the recommended or selected result matches the intended client before proceeding.
- Remember that the Owner and Coaching Sales Rep fields reflect the last person who took action, not necessarily their current role.
- Review the Sales Stages training video to fully understand what each opportunity stage means.
- Before reaching out to a client, review the Vetting Accounts training to confirm the client can be contacted without causing a Code of Conduct issue.
