Salesforce User Guide - Event Credit Availability
Overview
This guide explains how to determine Event Credit availability in Salesforce based on allocated funds. When a client purchases a bundle, such as Mastery University or the Ultimate Mastery Bundle, that purchase includes multiple Event Credits. Each Event Credit has a specific dollar amount tied to it, and a ticket's availability depends on whether that amount has been paid in full.

Before You Begin
Since bundle purchases are not always paid in full at the time of sale, clients may select a payment plan. Because of this, ticket availability should always be confirmed against the amount paid, not assumed based on the overall purchase.
Step-by-Step Instructions
Step 1: Open the Client's Bundle Opportunity
Navigate to Opportunities and locate the client's bundle purchase (for example, the Ultimate Mastery Bundle). Review the products included on the opportunity, such as the bundle itself and any add-ons like a studio upgrade.
Note: If the client did not pay in full at the time of purchase, a payment plan fee may also appear on the opportunity.
Step 2: Review the Deliverables
Under purchased event credits, review the list of tickets included in the bundle. This is where you will determine how many tickets are currently available to the client based on the amount they have paid.
Step 3: Open Purchased Event Credits
Open the Purchased Event Credits section and focus on the following fields for each ticket:
- Allocated Contract Value - the dollar amount each ticket is worth
- Amount Paid - how much the client has actually paid toward that specific ticket
Step 4: Compare Allocated Amount to Amount Paid
Compare the Allocated Contract Value to the Amount Paid for each line item:
- If the Amount Paid matches the Allocated Contract Value, the ticket is paid in full and will show a checkmark in the Available column.
- If the Amount Paid does not match the Allocated Contract Value, the ticket is not yet paid in full and will not be marked as available.
Step 5: Reallocate Funds if the Client Wants a Different Ticket Available First
Clients have flexibility in how their payments are allocated across tickets they have not yet attended. If a client wants to attend a ticket that is not yet available before one that is already paid off, funds can be moved between tickets, as long as the paid-off ticket has not already been attended.
Check the Attended column to confirm the ticket has not been used yet before requesting a fund reallocation.
Step 6: Confirm the Balance Owing on the Opportunity
Sometimes a ticket will not show the full Amount Paid even though the opportunity has been paid in full overall. To confirm this, go back to the Opportunity and scroll down to the section showing the balance owing.
- If there is a balance owing, this explains why the ticket has not been marked as paid in full.
- If there is no balance owing but a ticket still is not marked available, a fund reallocation request may be needed.
Step 7: Submit a Fund Reallocation Request
If a client wants funds moved from one unattended ticket to another so a different ticket becomes available, submit a Paperless request to move the funds accordingly.
Best Practices
Keep the following in mind when determining Event Credit availability:
- Always compare the Allocated Contract Value to the Amount Paid before telling a client whether a ticket is available.
- Check the Attended column before requesting a fund reallocation, since attended tickets cannot have their funds moved.
- If a ticket shows as unpaid, check the opportunity's balance owing before assuming the payment was not applied correctly.
- Submit a Paperless request to move funds between tickets when a client wants to prioritize a different event.
