Salesforce — Payment Types Reference Guide
Overview
This guide summarizes the payment methods Robbins Research International (RRI) accepts and points sales reps to the detailed process for each one. Use it to quickly identify which payment type a client wants to use and where to find the full instructions.
Who This Is For: All sales reps.
Required Systems: Salesforce.
Credit Cards (2 Ways to Process)
- How to Add a Payment/Credit Card for the Client
- Salesforce — Checkout Link & Affirm
- Ongoing subscription (automation) — see Identifying Subscription Billing Details
Wire Payments
Financing (Through Affirm)
Internal Transfer of Funds
- Completed via a paperless request (PP Req) — see How to Submit a Paperless Request (PP Req)
Clients can transfer unused funds or a credit on file (COF) from another opportunity toward a sale. A transfer cannot be the initial payment on a new opportunity with zero payments unless the transfer pays it out in its entirety. A transfer can be completed only if funds have already been received on the opportunity the funds are going to.
Checks
Physical checks can be sent by mail to the following address:
Robbins Research International
9051 Mira Mesa Blvd, P.O. Box #261229
San Diego, CA 92126
Let the client know it may take 2–4 weeks before the check is cashed.
Step 1: Log the Call
Log a call on the account noting what just happened. Example: "Client sending check for Op-000XXXXXXX for $6,195."
Step 2: Confirm Receipt from the Client
As part of this process, the client must text or email you a copy of the receipt to verify the check payment has been initiated.
Step 3: Post in the Daily Wires Slack Channel
Once the client provides the receipt, open Slack and go to the #dailywires channel. Post a message in this format:
Incoming check for (client name) for (Op #) in the amount of (balance client is paying)
Include a screenshot/photo of the receipt from the client.
Once your accounting team receives the payment, they will acknowledge your post with an emoji:
Important Notes
- An opportunity is not closed won until money is received and applied.
- Docusign (if applicable) is not sent until the opportunity is closed won.
- No deliverables will appear linked to the opportunity until it is closed won.
Quick Tips for Success
- Confirm the product before sending instructions. Make sure the correct product is on the opportunity before providing payment instructions to the client.
- Post in #dailywires with the receipt. This step is required for accounting to locate and apply the funds.
- You cannot initiate the Stage "closed won" manually. The opportunity stays open until funds are received and applied.
