Salesforce & Slack — Wire Payment Submission Process
Overview
Use this process when a client wants to pay via wire transfer and checks and needs the information to complete the transaction. This process includes the steps a sales rep needs to take to ensure the funds get applied for the client once received, and that the proper documentation is added to the client's account record so cross-functional teams can work together.

Step-by-Step Instructions
Step 1: Locate the Opportunity
Locate the opportunity the client is trying to send a wire payment for and open it.
Step 2: Confirm the Correct Product Is Added
Make sure the correct product is added to the opportunity and ready for the client to pay toward.
If it hasn't been added, click the green Update button on the opportunity to add the product(s) the client wishes to purchase.
Step 3: Start an Email to the Client
From the opportunity, click the dropdown next to the envelope icon, then select Email Customer.
Step 4: Open the Template Menu
In the Email Customer window, locate the action buttons at the bottom and click the third icon from the left.
Step 5: Insert a Template
Click Insert a Template.
Step 6: Select the Correct Template Folder
In the Insert Email Template window: (1) select the origin of the templates — All Classic Templates or All Lightning Templates, then (2) select your department to locate department-specific templates.
Most sales reps will find a Bank Wiring Instructions template in the options.

Step 7: Review and Complete the Email
Once you've selected the template, make sure all the information is filled in correctly.
Checklist:
- To field is filled in with the client's email address
- Subject line is accurate
- Body of the email is complete
The opportunity number (Op #) is used as the reference for this payment.
Important: Remember to advise the client that they are responsible for the wire payment sender's fee, in addition to the amount owed.

Once you've reviewed the information, click Send in the bottom-right corner.
Step 8: Log the Call
Log a call on the account noting what just happened. Example: "Client sending wire for Op-000XXXXXXX for $6,195."

Step 9: Confirm Receipt from the Client
As part of this process, the client must text or email you a copy of the receipt to verify the wire payment has been initiated.
Step 10: Post in the Daily Wires Slack Channel
Once the client provides the receipt, open Slack and go to the #dailywires channel. Post a message in this format:
Incoming wire for (client name) for (Op #) in the amount of (balance client is paying)
Include a screenshot/photo of the receipt from the client.
Once your accounting team receives the payment, they will acknowledge your post with an emoji.
Important Notes
- An opportunity is not closed won until money is received and applied.
- Docusign (if applicable) is not sent until the opportunity is closed won.
- No deliverables will appear linked to the opportunity until it is closed won.
Quick Tips for Success
- Confirm the product before sending instructions. Make sure the correct product is on the opportunity before sending wiring instructions to the client.
- Always mention the sender's fee. The client is responsible for it, in addition to their amount owed.
- Post in #dailywires with the receipt. This step is required for accounting to locate and apply the funds.
- You cannot initiate the Stage “closed won” manually. The opportunity stays open until funds are received and applied.
